How to Verify a Nurse’s Registration Number in India (Step by Step)

One unchecked certificate can put a patient, a licence and a hospital’s name at risk. A short check can stop it.

Nurse registration verification means confirming that a nurse’s number is genuine, current, and linked to the right person.

India has no single, complete database you can rely on.

Government data tabled in the Lok Sabha and reported by The Hindu in August 2026 show that only 14.24 lakh of 46.02 lakh registered nursing personnel are enrolled in the national NRTS system. So one portal will never tell you everything.

This guide shows how to check any RN or RM number through two official routes in about 15 minutes.

Why hospitals must check a nurse’s registration before the joining date

A nurse gives medicines, watches unstable patients, and acts on clinical orders. Working without valid nursing council registration is a patient-safety problem, not a paperwork gap. State nursing acts make registration compulsory for practice.

If something goes wrong, a hospital that skips nurse registration verification has little to say in its defence.

Accreditation is another reason. NABH-accredited hospitals are expected to keep verified credentials in personnel files, and auditors ask to see them.

Forged papers are also a real risk.

Fake medical degrees and forged documents explains how false certificates pass a quick look. Checking before the joining date, not after, closes that gap.

Who issues nursing registration in India

1. State nursing councils and the RN/RM number

Every practising nurse is registered with a state nursing council. That council issues the RN or RM number, which is the legal licence to practise in that state.

This makes the state council check the main part of nurse registration verification. Every other check only supports it.

A nurse who moves to another state applies for reciprocal registration, which can be requested through the NRTS portal. Registration must be renewed every five years, and renewal needs continuing nursing education credits. An expired number is not the same as a fake number, but it still needs follow-up.

The INC’s NRTS portal and the NUID

NRTS (Nurse Registration and Tracking System) is a live national register built by the Indian Nursing Council with the National Informatics Centre. A nurse enrolled in it gets a Nurse Unique ID (NUID) after the state council verifies the details.

Think of it this way: NRTS is national, but the state council is legal. The NUID travels across states, while the state council holds the actual licence. Many valid nurses do not have a NUID yet, so use the NRTS check as a cross-check, never as the only proof.

  • Where the NNMC Act 2023 stands in October 2026

The National Nursing and Midwifery Commission Act, 2023 is meant to replace the Indian Nursing Council. The Commission has not been set up yet, so the INC continues to regulate.

Keep accepting registrations issued under the INC, and watch for a new national register once the Commission starts work. We will update this page when that changes.

What a valid nurse registration number looks like

There is no single national format. Some councils use a prefix, some include the year of registration, and some use a plain serial number. Never judge a number by how it looks. Judge it by whether the council’s record matches.

Know the category as well. RN and RM usually appear together for GNM and B.Sc. Nursing graduates. ANM and LHV registrations are separate categories with their own numbers.

On the certificate, look for these details:

  • Registration number
  • Full name of the nurse
  • Qualification
  • Date of registration
  • Renewal or validity date

5 Steps to complete nurse registration verification online

Step 1: Collect the right documents

Ask the candidate for the registration certificate, the latest renewal receipt, the NUID card (if issued), the qualification certificate and an Aadhaar copy that shows the name as spelled. Take written consent to verify these documents with the issuing bodies and keep it in the file.

Step 2: Check the state nursing council portal

Open the issuing council’s own website, not a third-party site. Find the verification or search page and enter the registration number and any other field it asks for, such as the name.

A good result shows the name, number, qualification and status. If the council has no public search, send a written verification request with a copy of the certificate.

Step 3: Cross-check the NUID on the NRTS portal

If the nurse has a NUID, search it on the NRTS portal (nrts.indiannursingcouncil.gov.in). A matched record shows the name, the registering council and the NUID status.

This cross-check can catch identity swaps that a certificate alone can hide. If there is no NUID, note that in the file and rely on Step 2.

Step 4: Match four fields

Compare the council record with the certificate on name, qualification, institution and validity date. These mismatches matter:

  • A different qualification
  • A different institution
  • An expired validity date
  • A number that belongs to another name

Small differences, such as initials written in full or a different surname order, are usually minor. Even then, ask the nurse to explain and share proof.

Step 5: Record the result

Save a screenshot of each nurse registration verification result with the date, the portal name and the checker’s name. Note the validity date and set a renewal reminder.

A clean record lets the hospital show an auditor exactly what was checked and when. Build this step into your wider hospital recruitment process so it never depends on memory.

What to do when the record cannot be found

A failed search during nurse registration verification is a reason to pause, not to reject. Work through these causes in order.

  • Name spelling or Aadhaar mismatch.

This is the most common cause. Search again with alternate spellings, full names instead of initials, and the father’s or husband’s name if the portal allows it. Ask the nurse for the council’s acknowledgement or a corrected certificate.

  • Older records not yet online.

Some older entries may not be digitised. Send a written request to the council with a copy of the certificate and ask for a reply date in writing.

Councils set their own timelines, so do not promise a joining date until the reply arrives.

  • Nurse registered in another state.

If the nurse recently moved, the new council may not have processed reciprocal registration. Verify the original state registration first, then ask for proof that the transfer application is under way.

Whether the nurse may work in the meantime depends on that council’s rules, so get its answer in writing.

  • Lapsed renewal.

A lapsed number may mean the nurse is not entitled to practise until renewal is complete. Ask for the renewal receipt and wait for the updated record before giving patient-facing duty.

Signs of a forged certificate. Escalate and do not onboard the candidate if you see any of these:

  • The number belongs to a different name or qualification on the council record.
  • The council or institution cannot confirm the certificate in writing.
  • The document has a wrong council name, uneven fonts, spelling errors or a missing seal.

Building the check into your hiring process

Make nurse registration verification a gate between interview and offer letter, and keep the offer conditional on a clean result. Re-check at every renewal date.

Decide who owns each part. HR runs the checks, and the nursing superintendent confirms that the qualification fits the role. Store consent forms and screenshots securely, and keep them only as long as your retention policy allows.

If you hire doctors too, read what doctor verification involves so both teams follow the same standard.

FAQs

1. Is NUID mandatory for nurses working in India?

State council registration is the legal licence to practise. NUID is the INC’s national ID, and many registered nurses do not have one yet. Ask for it, but do not reject a nurse only because it is missing.

2. Can a nurse start work while state council registration is pending?

Each council’s act governs this. Ask for the council’s written acknowledgement of the application and take legal advice before allowing patient-facing duty. Do not rely on a verbal assurance.

3. How do I check nursing registration renewal status online?

Open the state council portal and read the validity or renewal field. For NUID holders, the NRTS portal also shows status. Ask for the latest renewal receipt, since registration renews every five years.

4. Is NRTS registration the same as state nursing council registration?

No. NRTS is the INC’s national register and issues the NUID. The state council grants the legal registration and the RN or RM number. Check both, and treat the state council as the final authority.

5. How long does nurse registration verification take?

When both records are online, about 15 minutes. Written requests to councils take longer, and the council sets the timeline.

6. How do I check a nurse’s registration number in India?

First, collect the registration certificate and the NUID (if there is one) from the nurse. Next, enter the registration number on the official website of the state nursing council. Then search the NUID on the NRTS portal. Both records must match the nurse’s name.

Conclusion

Reliable nurse registration verification follows a two-route rule: check the state nursing council and check NRTS every time.

The state council confirms the licence, and NRTS confirms the national identity. When both agree and the four fields match, record the result and move on. When they do not, pause and escalate.

Also keep an eye on the NNMC transition, because the rules for national registers may change once the Commission is set up.
